Field Forms

Field forms for small construction companies

Field Forms is a done-for-you service that sets up daily reports, job safety forms (JSAs) and incident reports your crew fills out on a phone, saves the photos with each report and files everything by job. It is for small construction companies whose paperwork from the field ends up in truck cabs, text threads or nowhere at all.

How field forms works with Outrigger

Most small crews already know what happened on the job today. The problem is getting it written down in a way anyone can find later. A foreman texts a photo, the owner means to write it up that night, and three weeks later nobody remembers which day the GC asked for the extra trench or when the rain shut the site down. Field Forms turns that day into a short form on a phone, filled out before the truck leaves the job.

We build the forms, share them with your crew, and set up the job folders they file into. Each report is saved with its photos in the folder for that job, not mixed in with everything else. Our built-in automation checks the reports each weekday morning, and when a report flags a problem, like an incident or a note that something changed, you get an alert.

Outrigger was built inside the office of a working civil sitework company, and field paperwork was one of the first things we fixed there. We know the crew will not fill out a long form at the end of a hot day. So the forms are short, they work on the phone your foreman already has, and they ask for what you will actually need later: who was there, what got done, what changed, and pictures.

Best for

  • Crews that report the day by text message
  • Owners who want a record of extra work for change orders
  • GCs asking for daily reports or JSAs on their jobs
  • Companies that want incident details written down the same day
  • Owners tired of paper forms lost in the truck
  • Small companies with no office person on site
What we do

What's included

Daily reports

A short daily report for each job: crew on site, equipment, work done, weather, delays and anything the GC asked for. Filled out on a phone in a few minutes.

Job safety forms (JSA)

A job safety analysis form your crew can fill out before work starts, saved with the job. You decide what goes on it; we build it and file it.

Incident reports

An incident report form for injuries, near misses, property damage or equipment problems, with photos, so the facts are written down the same day while people still remember.

Photos saved with each report

Photos taken with the form stay attached to that report and land in the job folder, so you are not digging through a camera roll to find what the site looked like.

Filed by job automatically

Every report is filed into the right job folder in your shared Google Drive, named and dated, so you or your office can pull it up in seconds.

Alerts when something is flagged

When a report flags a problem, such as an incident, a delay or extra work the GC asked for, you get an alert instead of finding out weeks later.

What you do

  • Tell us which forms you want at setup
  • Have your crew fill them out on a phone
  • Read the alerts we send
  • Decide what to do about any problem flagged
Good to know

Why daily reports and field forms matter for a small contractor

A daily report is a written record of what happened on a job that day: who was there, what got done, what equipment ran, what held you up and what changed. What matters is that it is written the same day and kept where you can find it. When a question comes up months later, a dated report with photos says a lot more than anyone's memory.

Field paperwork and money are connected. Changes to scope should be in writing and approved before or promptly after the work, and many contracts set a deadline or process for change orders, so read your contract. If your foreman notes extra work in a daily report and that note reaches the office, it can become a change order. If it stays in someone's head, extra work often goes unbilled, and unbilled extra work is lost money.

Which safety forms your jobs require depends on your work, your GC and the rules that apply to you. We build and file the forms; we do not decide what your safety program needs or give safety advice. Talk to your GC, your insurance agent or a safety advisor about what is required, and we will set up the forms to match.

How it runs

Our process

Pick your forms

At setup we go over which forms you need, what questions belong on them and which jobs are open. We keep each form as short as it can be.

Crew fills them out

Your foreman or crew fills out the form on a phone from the job, with photos. Paper forms or a time clock app you already use can work too.

Reports get filed

Each report and its photos are filed into the folder for that job in your shared Google Drive, dated and named so they are easy to find.

Morning check

Each weekday morning our built-in automation checks the new reports. A person looks at anything flagged, and you get an alert about what needs your attention.

Feeds the office

Extra work noted in a report can turn into a change order, and incidents are on file. You decide next steps; we handle the paperwork side.

Field Forms FAQ

How much do field forms cost for a small contractor?

Field forms are included in every Outrigger plan, and plans start at $699 a month. Essentials includes daily report, JSA and incident forms. Standard adds up to 3 extra forms, and Full Office includes all forms. Plans are month to month with 30 days' notice to cancel. See the Plans page for the full list of what each plan covers.

Do my guys need to download an app to fill out daily reports?

No, the forms run on free Google Forms and open in the browser on any phone, so there is nothing to buy or install. If you already use a time clock or field app, such as Workyard, you can keep it and we work with what it produces. If your crew prefers paper, we can handle paper forms too.

How fast will I hear about an incident report?

Reports are filed by job as soon as your crew submits them, and our built-in automation checks new reports each weekday morning. When a report flags a problem, you get an alert so you are not finding out weeks later. A form is a record, not a phone call, so emergencies still need a call.

Do you write our safety program or tell us what OSHA requires?

No, we do not write safety programs, decide what safety rules apply to you or give safety, legal or insurance advice. We build the forms you choose, help your crew use them, file the reports and flag problems. For what your jobs require, talk to your GC, insurance agent or a safety advisor, and we will set up forms to match what they tell you.

Can daily reports help me bill for extra work?

Yes, a daily report that notes extra work the same day gives you a record to build a change order from. When a report flags extra work, it comes to our attention and yours. If you want to bill it, you send us the change order details and we write it up. Whether the work is billable under your contract is your call, so read your contract.

Where are the field reports stored and who can see them?

Reports and photos are stored in shared Google Drive folders set up for your company, one folder per job. You own the folders and decide who has access. Your office, your foreman or a GC can be given a specific report or folder when they need it, and we never share anything outside your company without your okay.
